This privacy statement applies to any processing of personal data by subsidAI in the following situations:

• Visiting and using our website; subsidAI.com, subsidAI.nl
• Booking a consultation
• Starting an AI subsidy scan
• Starting a WBSO application

When a scan, WBSO application or contact form is filled in directly via our website or another channel: subsidAI is then the controller itself. In this case, no processor applies.

We receive data when you:

• Complete an intake form for the subsidAI Scan ™
• Complete a WBSO application using our automation tool
• Submit a book a consultation, contact us, or other form on our website
• Use our website (cookies & similar techniques). Providing data is voluntary; without your input we cannot provide a report or response.

We process different categories of personal data, depending on the use of our services:

• Contact details: such as name, email address and telephone number.
• Company details: such as Chamber of Commerce (KvK) number, company name and website URL.
• Project information: free description of the (proposed) project.
• Enriched public data: such as industry code, address and company size from the Chamber of Commerce (KvK) register or other public websites.
• Website and device data: such as IP address, browser type and anonymized visitor statistics via cookies

We do not ask for private addresses or special categories of personal data.

• subsidAI Scan ™: Generate and submit based on your input and public data.
• Communication: answering your questions, book a consultation or sending the report.
• Service improvement: analysis of anonymized data to optimize our scan and website.
• Legal obligation: compliance with administrative or tax obligations

We do not use your data for unsolicited marketing and only send newsletters if you give explicit permission for this.

• Sub-processors: ISO 27001 certified hosting and API providers. Our AI providers do not train their models on your data.
• Legal authorities: Only when we are obliged to do so.

We never sell your data.

All data is stored on servers within the European Economic Area. We use:

• Encrypted connections (TLS)
• Role-based access control
• Regular security scans & audits
• Data minimization and pseudonymization where possible.

• WBSO Application: personal data will be deleted no later than 3 years after the report is sent
• subsidAI Scan ™: personal data will be deleted no later than 90 days after the report is sent.
• Administrative data: up to 7 years (fiscal retention obligation).

You have the right to access, correction, deletion, limitation, data portability and objection. Send your request to info@subsidAI.com; we will respond within 5 working days.

We only use cookies that are necessary for:

• Functional use: session management and remembering your cookie preference.
• Anonymized analysis: insight into visitor numbers and page performance via Google Analytics (IP addresses anonymized).

On your first visit we will show you a cookie banner with which you can set your preference. You can always delete cookies via the settings of your browser.
